Easily share IBM Maximo documents with SharePoint
Want to easily share all your IBM Maximo and other documents without the hassle of version control? Connecting your asset management solution to a document management system (DMS) such as SharePoint is the perfect solution. It makes it easier for your employees to collaborate and quickly find the right information.
Many organizations struggle with their document management. Different versions of documents circulate, and it is not always immediately clear to an employee which one they should have. This results in a loss of valuable time searching. Moreover, there is a distinct possibility that outdated information will ultimately be used. For example, if there are different versions of a root cause analysis attached as attachments to a work order in IBM Maximo, this can lead to confusion.
Connecting IBM Maximo and SharePoint: one version of the truth
With a connection between your IBM Maximo asset management solution and Microsoft SharePoint from Gemba, you avoid wasted time and confusion caused by different document versions. From SharePoint, you can retrieve all documents linked to an asset at once. A URL leads to the shared location of a document. This way, there is only one version of the truth that all your employees base their work on. In addition, changes to a document are always transparent via the version history. And if a document is added to IBM Maximo, it is automatically also available in SharePoint.
IBM Maximo documents searchable via SharePoint
All your IBM Maximo and other documents are easily searchable from SharePoint. For example, it is possible to search for documents based on metadata about the location of work, the status of a work order, or the description of an asset. All search results are clearly listed in no time.
Visual inspection with drones and image recognition
Smart AIS is responsible for inspecting the installations. A smart drone with a camera that is controlled from the ground by a drone pilot takes pictures of the asset. The images taken by the drone are analyzed based on an algorithm for corrosion detection. Smart AIS partner Airvision developed this on behalf of Smart AIS. The self-learning algorithm is able to independently recognize corrosion from images. The maintenance experts at Smart AIS then assess the images on which corrosion has been discovered, not the many hundreds of images taken. This allows them to assign the severity and provide maintenance advice much more quickly and on a well-founded basis. The last party in the chain is the contractor who carries out the maintenance work from work orders created in IBM MAS, in this example the piping specialist contractor Spie.
Collaborate on IBM Maximo documents online
Another practical advantage is that your employees can work together on a document during an online work meeting. For example, a shutdown planning, project plan, or specification sheet. They can then share the document with a click of the mouse on their screen. If one of the meeting participants makes a change to the document, the others will see this reflected immediately.
Offline availability of documents
Are your employees not always connected to the internet? Then you can also make documents available offline. This is possible via SharePoint and OneDrive. Useful for, for example, (assembly) instructions or technical drawings that your mechanics need on location.
IBM Maximo and SharePoint connection
How we set up the connection between IBM Maximo and SharePoint for you exactly depends, among other things, on how SharePoint is organized in your company. One possibility is that all documents are together in one folder and can be found purely on metadata. But consider, for example, a document library in which the URLs to different types of IBM Maximo documents are categorized. A classification of documents by security level is also one of the options.
