IBM MAS 9.2: what’s changing for management, AI and mobile working

IBM Maximo Application Suite 9.2 is out! What stands out most to us at Gemba? This release brings together many practical improvements that make your day-to-day maintenance work simpler. Many of the ideas come straight from the IBM Community. Functionality we previously developed as custom work is now standard in IBM MAS. What’s new?

IBM MAS 9.2 makes day-to-day work easier

The improvements span multiple levels: from performance and user management to dashboards, AI and mobile working. Together they make configuring, using and supporting IBM MAS simpler and clearer.

A good example is the technical separation of user functionality. You can now direct IBM Maximo Mobile users to a dedicated server within the cluster. This separate server prevents them from competing with other users for capacity. It helps keep your IBM MAS platform more stable and faster, especially when many people are logged in at the same time.

The IBM MAS user interface has become more practical. If you use only three applications daily, even though you have access to dozens, you can now create your own menu with your most-used items. The menu bar has also been simplified, so you find what you need more quickly.

User management and AppPoints are clearer

In earlier versions, user data was stored in different databases that had to be synchronised with each other. This sometimes led to inconsistencies: a user might be active in one database but not in the other, so login didn’t always work.

In IBM MAS 9.2, user management is centralised in the IBM Maximo Manage database. The separate synchronisation is no longer needed. This simplifies management and reduces the chance of inconsistencies.

The use of AppPoints is also more transparent. A new dashboard shows how AppPoints are distributed and where they are being consumed. You can track licence usage more easily and spot where you need to make adjustments sooner.

Linking AI to IBM Maximo is simpler

A major new feature is the MCP server. It acts as a connection layer between IBM Maximo and various AI sources or AI agents.

Previously, such integrations were often separate point-to-point solutions. The MCP server makes it easier to connect multiple AI solutions to IBM Maximo. This gives your organisation more choice in the AI sources you use. You can also better align the setup with your architecture, processes and security requirements.

AI automatically extracts data from documents

IBM MAS 9.2 can use AI to pull information from documents and automatically populate fields.

This is particularly useful for large volumes of purchase orders or contracts with suppliers and subcontractors. These documents contain data you also want to record in IBM Maximo, such as contract terms, delivery conditions and other agreements. AI scans the document, recognises the relevant information and places it in the right fields. It saves a lot of manual entry work and reduces the chance of errors. Great for your operational excellence.

IBM Maximo Manage gives you more control over downloads

Exporting data to Excel is useful, but it can also cause problems. Downloading hundreds of thousands of records puts a heavy load on the server. Sometimes, for information security reasons, you may want to prevent data from being exported to Excel altogether.

Previously this often required custom development. At Gemba we had already built this functionality for one of our customers. In IBM MAS 9.2 it is now standard.

As an administrator you can set the maximum number of records a user is allowed to download (for example, 300). You can also disable Excel export completely. This gives you better control over performance and data access.

Sending emails now aligns better with modern security

IBM Maximo Manage can send emails, for example from workflows or notifications. Previously authentication used a username and password.

This method no longer meets modern security standards. IBM MAS 9.2 therefore supports OAuth for sending emails. This makes the solution better suited to modern email services and reduces the risk of email functionality failing.

Work order descriptions can be built more flexibly

You also have more choice when generating work order descriptions. We at Gemba had previously developed custom functionality for this. In IBM MAS 9.2 it is now a standard setting.

Take a preventive maintenance schedule for an inspection. Once the interval is reached, IBM Maximo automatically creates a work order. You can now choose whether the work order uses the description from the job plan or from the preventive maintenance schedule.

You can set this choice per maintenance schedule or at organisation level. This means the description better matches your own setup and way of working, without extra scripts.

IBM Maximo Mobile gives immediate visibility of open work

IBM Maximo Mobile has a new dashboard that serves as the landing page. You immediately see which tasks are open and can click through from the dashboard to the right app.

This is especially useful if you use multiple mobile apps, for example for work orders, inspections and assets. You start with one overview and don’t need to open each app separately.

The AI Assistant is now also available in Mobile (provided you have set it up in Manage). Employees can ask questions in plain language about the work they need to carry out and receive direct support on the shop floor.

Two new mobile apps support field work

IBM MAS 9.2 adds two new apps to IBM Maximo Mobile.

The first app lets you submit a permit request. This is relevant, for example, in oil and gas, where employees need a work permit for certain activities. The request can now be started directly from the field.

The second app supports creating, modifying and supplementing location data. An authorised user can add missing information during maintenance or inspection work, such as a serial number, photo, meter reading or the capacity of the installation.

Less delay from large photos and attachments

Photos from phones and tablets are getting bigger. A 10 MB file is created in no time. On a slow connection, uploading it can take a lot of time.

IBM MAS 9.2 allows photos to be compressed before they are sent. You can also limit the number of attachments (for example, a maximum of three files per user).

A limit on attachments prevents users from still uploading multiple large files at once. This gives you more control over data traffic and synchronisation time.

Push notifications speed up follow-up on breakdowns

Push notifications are simpler to set up. This is particularly practical for breakdowns and urgent work. As soon as a fault comes in, a notification goes to the right employee’s mobile phone. They no longer need to keep opening Mobile to check for new work. Your maintenance team responds faster and the time between notification and action is shorter.

IBM Maximo Spatial supports more than just points

The IBM Maximo Spatial add-on also has new capabilities. Where you could previously mainly plot points on a map, you can now also record lines and polygons.

This is relevant when assets and maintenance areas span a route or surface, such as dikes, pipeline routes and sites. The location information better supports your inspections and work orders.

Many small improvements make a big difference together

IBM MAS 9.2 clearly builds on real-world experience. Input from the IBM Community has been turned into standard functionality. You see this in better performance, simpler management, more control over data, more practical mobile apps and less custom work. Working with IBM MAS is now faster, safer and clearer.
