Asset management in transportation: how do you approach it?

Whether it concerns trucks, lease cars, airplanes, boats, trams, or train sets, every fleet manager wants to improve the deployability and reliability of their assets.   1.

That starts with an asset management solution for transportation in which you record and analyze data about the maintenance history of your assets and their current condition. This allows you to better plan maintenance work and even predict when preventive maintenance is needed. Predefined task plans help you with the systematic maintenance of your assets. From solving problems to making agreements with suppliers about the availability of parts: for each asset, it is described what needs to be done. When is it best to replace a vehicle’s battery, for example? And when is a train set due for overhaul?

Maintenance that is too early leads to unnecessary expenses, while maintenance that is too late may lead to breakdowns and thus to unforeseen costs. But there are more ways to make good use of your budgets. Consider, for example, tracking the fuel consumption of an asset. This type of information enables you to deploy your most economical assets the most or to predict what the consumption of your fleet will be in the coming period so that you can budget accordingly. And if consumption is higher than normal in practice? Then you know that something is wrong, and you can take immediate action to prevent failure costs. Also, for example, making your parts inventory transparent and managing it adequately helps you to spend your money wisely. Is it really necessary to have so many expensive parts on the shelf?

You have all kinds of agreements with suppliers about the maintenance of the assets in your fleet. Within what period should they, for example, solve a problem with a part? Which parts should they have in stock for you? And when does their warranty period expire? By recording all these kinds of things per asset, you keep track of your contracts and the agreements that have been made in them. You can then also receive a signal when, for example, an agreed warranty or maintenance period expires.

The composition in which you deploy the assets in your fleet can influence their maintenance, consumption, or lifespan. Take a wagon of a train. One time you use the wagon on route X, the other time on route Y. What does this mean for the wear and tear of the wagon? The position of the wagon is also constantly changing, sometimes in the middle of the train, sometimes behind the locomotive. What effect does this have on the performance of the wagon or on the individual parts? By registering these kinds of details, you prevent your maintenance history from becoming polluted, thereby reducing the chance of less effective maintenance decisions.

Consider just a relatively simple inspection such as the annual MOT test of a large fleet of passenger cars or trucks and the planning thereof. It is essential that you carefully keep track of the required internal and external inspections for all your assets, complete with task lists for all parties involved. This gives you overview and control. You can optimally plan all inspections and demonstrate how you guarantee them.

When you purchase an asset, you record data such as the purchase date, supplier, warranty agreements, required spare parts, and frequency for preventive maintenance. Then you keep track of what happens during use and make analyses based on which you organize your preventive maintenance as effectively as possible. There are several ways to register this data about the performance or condition of your assets. In work orders, your mechanics, for example, keep track of meter readings or the wear of a profile of a tire in a certain configuration. In addition, you automatically retrieve data from the transponder systems with which your assets are equipped. This can be data about the location or fuel consumption of a vehicle, vessel, or aircraft, but also error codes that indicate, for example, that the pressure on an axle is too high or that a brake is not working properly.

Many companies in the transportation sector use different systems for, for example, creating work orders or recording contractual agreements with suppliers. These systems often do not work well together, which makes it difficult to manage your assets and fully utilize them. It is better to opt for a maintenance management solution for transportation in which you record and combine all the necessary data for the optimal maintenance of your fleet.
