Gemba recently implemented the Essential Staff List at an offshore company. With their more than thirty different gas extraction stations in the North Sea, they were looking for a better overview to ensure that there are always enough people with the right qualifications at each station. Gemba helped with the newly developed Essential Staff List.

Flight Registration System Vantage

Helicopters fly daily over the North Sea to transport personnel to and from gas extraction stations. The people transported in those helicopters are registered in the Flight Registration System Vantage. This is used by many operators in the North Sea, providing insight into who is being transported where.
But it is still a lot of work to keep track of whether there are always enough medics and firefighters at one of the main locations in the event of calamities. Especially when it comes to so many different flight movements.

From Excel list to Essential Staff List

Gemba’s offshore client used MS Excel to check whether the key functions at the main locations were being fulfilled, partly based on data looked up in Vantage. Because this was a very time-consuming task, Gemba was called in to improve this.

This offshore client was already using IBM Maximo, which contained all personnel along with their qualifications. Based on acquired competencies or qualifications, key functions were linked to these people. The solution that Gemba developed is an application within IBM Maximo. This allows each main location to manage an Essential Staff List by selecting people with the right qualifications for each key function. It is not possible to select a person who is not present at the station or does not have a valid function.

Safe and user-friendly

Gemba created an interface between the Vantage system and IBM Maximo, whereby the location of moving persons is transmitted at a certain interval. In this way, IBM Maximo always knows which people are at a location and whether all functions of the Essential Staff List are fulfilled.

Now there is a safer and more user-friendly Essential Staff List that uses existing data from both Vantage and IBM Maximo. This ensures that the client knows that the right people are in the right place.
